We're looking for an Operations Manager

 

Some people see us as a cute, independent jewellery shop. They’re wrong!
We’re a high-end design and manufacturing consultancy for bespoke jewellery: helping customers across the UK create deeply meaningful pieces that celebrate love, life and legacy.

That work is a privilege and it’s more complex than people imagine. From bespoke design to gemstone sourcing, from job tracking to memorial ceremonies, everything must run like clockwork.  We’re really busy, with increasing demand locally and also nationally for our commission and restoration services. That’s why we’re creating a new role: Operations Manager.

You’ll work alongside our General Manager, Jo, who leads on people, customers and sales. You’ll take care of everything else from systems, suppliers and project flow to reporting and marketing coordination.  While our on-site team is small (fewer than 10), our extended network is large: with over 30 independent artisan trades, gemstone and bullion suppliers and specialist workshops, plus trusted consultants in IT, accounts, graphic design and digital. You’ll be the person connecting it all.

We’ve invested heavily in a new CRM system, now we need someone to land that vision, help us mature as a business and bring structure to the magic.

What you’ll be responsible for

  • Leading operations across systems, suppliers, scheduling and marketing

  • Embedding our new CRM and connecting tools across departments

  • Collaborating with the sales team to manage stock and production flows 

  • Maintaining margins

  • Coordinating our digital and print marketing with elements of SEO, ads and analysis ensuring our messaging reflects our strategy

  • Creating clear processes and reports to inform business decisions

  • Owning IT support, documentation QA and internal planning

  • All business assets including the building, marketing collateral, loo roll and Moonroast coffee!

  • Risk management, H&S and security

What you’ll need

  • Prior experience in operations, project management or business coordination

  • High level of digital literacy and spreadsheet fluency

  • Proficiency with CRMs, business tools and applications (for example Asana, Slack, Go High Level)

  • Evidence of increasing efficiencies and fine-tuning operational details

  • A back-ground in managing systems, reporting and internal processes: understanding the link between front of house and back office relations

  • Someone a stickler for quality of service and product and will hold everyone to account

  • Comfortable working with creatives and technical partners alike

Important:  You’ll be happy to occasionally be front-of-house, not in a design role, but in a cover role for general repairs and collections.  This will help you fully understand our customer’s needs and technical challenges of jewellery manufacture.  In order to manage production effectively you’ll learn the fundamentals of precious metals and gemstones, the design-engineering advice we provide and work closely with our goldsmiths.

What we need:

  • Someone who loves to roll their sleeves up and get on with it: a proactive self-starter, comfortable not knowing everything (especially early on) and resourceful enough to get the job done

  • We’ve got some big projects we need someone with the appropriate competency to take over; our CRM set up and integration, consolidating our internal comms and our creative applications

  • We’ve grown a lot and some things need tidying up: our file management systems, collation of meeting notes and progressing our use of AI so we can focus on #SharingtheSparkle.

Location:  The Cottage, Viables Craft Centre, Basingstoke, Hampshire, RG22 4BJ with free parking

Hours:  Based on a 40-hour week, Tuesday to Saturday, with some Mondays in lieu of Saturdays.

Salary: Competitive, based on experience
